Installing CloserMD

CloserMD is a free download on the iPhone App Store: apps.apple.com/app/id6773150813. Open the App Store, search CloserMD (or tap that link on your iPhone), and tap Get to install. No TestFlight or invite link needed. Charting on a laptop? Sign in at closermd.com/app — nothing to install. Your EMR connection and coverage carry over from the app.

Charting on the web (closermd.com/app)

CloserMD charts in your browser as well as on your iPhone. Sign in at closermd.com/app — nothing to install, and your EMR connection, coverage, and rounds list are the same ones you set up in the app. Set up your EMR connection and coverage on your iPhone first; once that's done, the laptop is where you work. Type help in the message box for the command list.

First sign-in & how the 6-digit code works

Sign in with the email we invited you with. On your first sign-in you'll set a password. After that, each sign-in we email you a 6-digit code — enter it to finish signing in. No authenticator app is required; the code comes straight to your inbox. On iPhone, Face ID keeps you signed in day to day, so you rarely need to sign in fully.

Forgot your password

On the sign-in screen select Forgot password?, enter your email, and we'll email you a temporary password. Sign in with it, set a new password (12+ characters with upper/lowercase, a number, and a symbol), then enter the 6-digit code we email you to finish.

Your invite expired — resend it

First-time invites expire after a few days. On the sign-in screen select Resend my invite, enter your email, and a fresh invite is sent. If you already set a password, use Forgot password? instead.

I didn't get my 6-digit sign-in code

The code is emailed the moment you sign in (subject: Your CloserMD sign-in code) and arrives within a minute. Check spam/junk and search for closermd.com. If it still hasn't arrived, select Resend code on the sign-in screen. Codes expire quickly, so use the newest one.

Connecting SigmaCare

Set up your EMR connection on your iPhone: on the Connect screen choose SigmaCare / MatrixCare and follow the guided steps to link your account — CloserMD confirms your access and connects your census. You'll be asked for your account code (the org code you pick at the EMR login, e.g. RMC) plus your usual username and password. Your connection is encrypted, scoped to you, and every chart access is audit-logged under our BAA. Next you'll pick your coverage so your worklist shows only your patients. If you use MatrixCare, check your sign-in address. MatrixCare is a family of products, and CloserMD connects to the SigmaCare platform within it. If the address you sign in at ends in sigmacare.com, that's the one — connect now, and signed notes file straight back to your chart. If you sign in to MatrixCare somewhere else, that's a different platform and we haven't connected it yet. Either way, email support@closermd.com and tell us your organization — that's a real answer, not a waitlist. And if your account code isn't accepted, don't assume you mistyped your password; tell us and we'll check which platform you're on.

Connecting an EMR by sign-in (Epic, eClinicalWorks, Cerner, …)

Sign-in for office and hospital EMRs is built on SMART-on-FHIR and is rolling out — it isn't live for every organization yet; today SigmaCare is the live connection. Where it's enabled, you choose your EMR and select Sign in with <EMR>, authenticating on your EMR's own page — CloserMD receives a secure token, never your password. Some EMRs ask for your organization's FHIR address (from your EMR/IT team). If you see ‘needs registration,’ that EMR isn't enabled for in-app sign-in yet — tell us which one and we'll prioritize it.

Using more than one EMR

CloserMD is built to round across facilities with different EMRs — as each additional EMR comes online you'll add it in Rounds → EMRs and your worklist will merge patients across every connected EMR, each note signing back to the EMR that patient belongs to. Today SigmaCare is live; more are rolling out.

Setting your coverage (units & attendings)

After connecting, pick the units and/or attending physicians whose patients you round on, so your worklist shows only your patients — not the whole facility. Change it anytime from Rounds → Coverage; no password re-entry needed.

Your rounds worklist — add & remove patients

Rounds auto-loads your census. Open a patient to chart. To take someone off today's list — they stay in the EMR — use the × on their row on the web; on iPhone, long-press the row. On iPhone, the round menu also has Add patient for a consult or cross-cover patient. Select Refresh unit for new admissions; on iPhone, pull down.

Writing a progress note

Open a patient and select Start note. CloserMD walks you through date, any acute issues, exam, ROS, meds, allergies, diagnoses, and plan — carrying forward the prior note so you only touch what changed. Review the draft, then select Sign and confirm to file it back to your EMR.

Writing an H&P (admission)

Open a patient and select H&P, then dictate or type the admission narrative. CloserMD routes what you say into the HPI, exam, assessment, and plan, and pulls meds/allergies/PMH from the chart. Review and sign as usual.

Voice dictation tips

Select the mic to record, and again to stop — your speech drops into the box so you can edit before sending. For an H&P you can name sections out loud (“Assessment…”, “Plan…”) and they land in the right place. Speak naturally; you always review before signing.

AI suggestions & safety flags

Suggestions in orange — consult/IDT recommendations, the ‘since last visit’ brief, and drug-interaction / Beers alerts — are AI-assisted decision support. They're informational and never a substitute for your clinical judgment: you review, edit, and sign everything. AI runs only with your consent, under a HIPAA-eligible service.

Dead zones & offline — on iPhone, your note is safe

On iPhone, if you lose signal mid-note, your draft is saved on the device and reconnects automatically — you won't lose work. The note files to the EMR only when you sign, so a dropout never pushes a half-finished note.

Billing, free trial & subscription

New accounts start with a free trial — you're billed only after it ends. Manage your card, view invoices, or cancel from the billing portal (the Manage billing link; on iPhone, manage billing on the web at closermd.com). Questions about a charge? Email us and we'll sort it out.

Deleting your account

From the Connect-EMR screen, select Delete account. This deactivates your account and cancels billing; clinical records are retained as required by law, then permanently deleted. You'll be signed out.
